The COVID-19 pandemic has left a growing number of educational institutions struggling to transition from traditional transaction-management and record-keeping ERPs to open, collaborative and AI based technologies to achieve deeper, across-the-board digital transformation, with safety as the top-most priority.
The larger the institution, the greater the variety and complexity of processes needed for efficient operations. As a result, the design, implementation, and management of organisational workflows is critical. Unless this is carefully done, it can lead to needless escalation in capital and operational expenses. The proper design of workflows requires the elimination of silos that often plague organisations, with departments working at cross purposes and deliberately keeping their internal operational details opaque. CollPoll, a Bangalore-based Edutech company, has devised a Campus Help Centre (CHC) which integrates all workflows into a single web and mobile platform, or a virtual workplace where institutional stakeholders have access to the workflows relevant to them. CHC provides a self-service portal that enables users to raise any type of pre-designed service request. Once requests are raised, they are routed to the appropriate service administrators based on predetermined campus policies. Thereafter, all actions related to the request are automatically tracked with complete visibility to the relevant users.

Such processes tend to burden administrators with a needlessly onerous and time -consuming workload, much of which involves processing forms, sending email confirmations, and making phone calls, among other activities -- all of which can potentially be automated. A recent study found that more than 50% of manually performed administrative workflows at an education institution can be automated completely, resulting in considerable savings in cost, time and effort. Moreover, such automation can drastically reduce or eliminate human error, the bane of administrative processes.
